Goods receipt in the warehouse app

GuideLast checked on 18/10/2026

Find expected delivery notes from suppliers and transfers by scan, record items, capture batch and best-before date and book the delivery onto a storage bin or the goods receipt bin.

Under Goods receipt → Goods receipt you accept deliveries that the ERP is already expecting – for standard and WMS warehouses, because the ERP no longer has its own goods receipt: purchase orders from suppliers to this warehouse, transfers from other warehouses and – if you are a fulfiller – advance shipping notices from your merchants (FFN). For goods without a document there is free goods receipt.

From a purchase order in the ERP (Purchasing → Orders) you open the delivery directly with Goods receipt in the warehouse app – the warehouse app starts in a new tab with this purchase order.

Permission: Post stock movements. Without it, the menu item is not shown. Creating unknown items directly is only possible with Edit items.

Finding a delivery

At the top are the buttons Free goods receipt and Clarification cases. Below, the page shows the Expected delivery notes with type (supplier, transfer or FFN notice), number, supplier or source warehouse, external document, date and what is still open.

Scan or type one of these values at the top:

  • the supplier's delivery note number, purchase order or transfer number, order confirmation
  • supplier or source warehouse
  • an Item (EAN/GTIN, GS1 code, item number) – then you only see deliveries containing this item

Exactly one match opens the delivery immediately; several matches filter the list (use the X to clear the search). If nothing is open for a scanned item, the app offers Free goods receipt with this item.

Booking a supplier delivery

  1. Tap the delivery. If the Delivery note number required setting is active in the ERP, the app asks for it first – type or scan it, or tap Enter later. Booking is only possible once the number is entered.
  2. Scan item. At the bottom you see "ordered" and "open" for each purchase order line; completed lines are green.
  3. Confirm the Quantity – the open quantity or the quantity from the scan is suggested.
  4. For items with batch, best-before date or serial number, Batch & best-before date follows.
  5. Scan target bin: directly the storage bin (with a Put-away suggestion) – or, in a WMS warehouse, the Goods receipt bin if you will distribute later via Put-away. Damaged or wrong goods go to the clarification bin with To the clarification bin (clarification case). A standard warehouse has no bins: tap Apply and the goods are booked directly into the warehouse. For a clarification case, tap Set aside (clarification case) and put the goods to one side.
  6. The line appears under Recorded. Tapping it removes it again.
  7. Keep scanning; finally tap Book delivery.

Depending on the setting, the app then prints the item labels automatically or shows Print labels.

Accepting a transfer

A Transfer row opens the transfer order: scan the target bin, scan the item, confirm the quantity. Partial quantities remain in transit. Details: Transfer orders.

Advance shipping notice from a merchant (FFN)

If you are a fulfiller, your merchants' advance shipping notices appear in the list with the FFN tag. Tapping one opens the notice:

  1. Scan an item or tap a line.
  2. Enter the quantity (for large quantities also with × Quantity and one scan), scan the storage bin.
  3. Book in – the third-party goods are in the fulfillment stock, and the merchant sees them immediately.
  4. If nothing more is coming, tap Complete notice.

For this you need the permission Handle fulfillment (advance shipping notices, goods receipt, hand over and ship orders, returns). Without it, the lines are greyed out. The ERP no longer books in notices itself – receipt only takes place here.

Scanning

  • EAN/GTIN, item number and other codes (UPC, supplier number, pack EAN) are recognised by the central item recognition. If several items match, you choose one.
  • GS1 codes supply batch, best-before date, serial number and quantity as well – these are then pre-filled.
  • Pack EAN: a carton scan counts the pack factor, e.g. "Pack: carton with 12 pcs".
