Clarification cases in the warehouse app

GuideLast checked on 18/10/2026

Resolve unclear goods from goods receipt – damaged, wrong item, over-delivery or unknown: book in, return to the supplier or write off.

A Clarification case is created in Goods receipt when goods cannot simply be put away: Damaged, Wrong item, Over-delivery or Unknown (code without an item). The goods are then on the Clarification bin or set aside. Under Goods receipt → Clarification cases (or via the Clarification cases button in the delivery note list) you close them.

Permission: Post stock movements.

Creating a clarification case

  • At the target bin step in goods receipt, tap To the clarification bin (clarification case) and choose the reason. In a standard warehouse (without a clarification bin) the button is called Set aside (clarification case) – you put the goods to one side.
  • For Surplus not allowed, use Book surplus as clarification case.
  • For an unknown code, use Record as clarification case with a description and quantity – the goods are not booked but set aside.

Closing a clarification case

  1. Tap Clarification cases. You see all open cases of this warehouse with number, reason, bin, batch and quantity.
  2. Tap a case. At the top you see the item, reason, supplier and goods receipt.
  3. Choose:
    • Book in (put away) – scan the target bin; the goods are transferred there from the clarification bin. In a standard warehouse there is no bin scan: goods that were set aside are booked directly into the warehouse.
    • Return to supplier – a supplier return is created as a draft. You pick it under Supplier returns.
    • Write off – the goods leave the clarification bin as an outflow. For goods that were never booked, the button is called Discard and closes the case without a booking.

Completed cases disappear from the list; use the arrow at the top right to reload.

Unknown goods

Cases without an item can only be discarded in the app. Assign the item in the ERP first (Warehouse → Clarification cases); afterwards you can book it in in the app.

Clarification cases in the ERP

Under Warehouse → Clarification cases you see the clarification cases of all warehouses – including WMS warehouses. Open a case, assign the item for unknown goods, check quantity, batch and best-before date and book the goods onto a storage bin. Alternatively you close the case via supplier return, write-off or reject with a reason. Settings opens the warehouse settings Goods receipt. Permission: View stock to view, Post stock movements to close.
