Free goods receipt in the warehouse app
Record and book in goods without a purchase order or delivery note by scan – such as samples, follow-up deliveries without documents or opening stock.
With free goods receipt you book goods for which no delivery is expected. You find it in the menu under Goods receipt → Free goods receipt or in the delivery note list of Goods receipt via Free goods receipt. After an item scan without a matching delivery, the button is called Free goods receipt with this item – the item is then already added.
Permission: Post stock movements. Creating unknown items: Edit items.
Step by step
- Optionally enter the Delivery note number (mandatory if required by the setting).
- Scan item (EAN / item no.).
- Enter the Quantity – a pack or GS1 scan suggests the quantity.
- For items with batches, best-before dates or serial numbers, record Batch & best-before date.
- Scan target bin – a storage bin, or in a WMS warehouse the goods receipt bin or To the clarification bin (clarification case). A standard warehouse has no bins: tap Apply (directly into the warehouse) or Set aside (clarification case).
- Record further items; tap lines under Recorded to remove them.
- Book delivery.
If you leave the page with recorded but not yet booked lines, the app asks Discard recording?.
Scanning
As in goods receipt: EAN/GTIN, item number, pack EAN (counts the pack factor) and GS1 codes with batch, best-before date and quantity.
Common errors

| "Unknown code" | Create item (only with the permission Edit items) or Record as clarification case. |
| "No item chosen." | For ambiguous codes, tap an item from the selection. |
| Best-before date expired or too short | Book as a clarification case (WMS warehouse: clarification bin, standard warehouse: set aside) or deliberately Book in anyway. |
| "Bin not possible" | Storage rule (e.g. no mixed batches on one bin) – scan a different bin. |
