Returns in the warehouse app

GuideLast checked on 15/10/2026

Scan returned parcels, check each line with reason, condition and photo and decide – restock, B-stock, to supplier or dispose. Record unannounced parcels as a clarification case.

Under Returns → Returns you inspect returned goods right at the returns desk. Returns are created in the ERP under Returns – or here in the app if a parcel arrives unannounced.

You need the permission Inspect returns and record unannounced returns in the warehouse app.

Step by step

  1. Tap Returns in the menu.
  2. Scan Return, delivery note, order or item. If there is exactly one matching return, it opens immediately; otherwise choose under Returns found.
  3. You see the Expected lines. Scan an item from the parcel or tap a line.
  4. For each line you choose:
    • Reason (pre-filled from the announcement)
    • Condition – if a follow-up action matches the condition, the decision is preselected
    • Decision: Restock, B-stock / defective, To supplier or Dispose
    • Target bin: when restocking, scan a normal bin (the item's previous bin is shown); otherwise choose or scan a Returns bin
  5. Use Take photo to document damage – per line or for the whole return.
  6. Tap Apply. Once all lines are decided, tap Book inspection.

In a standard warehouse (without storage bins) you don't scan a target bin: Restock books the goods back into the warehouse, B-stock / defective and To supplier book them into the returns warehouse.

To supplier: the goods are parked on the returns bin until a supplier return sends them back. If a returns bin is set in the device profile, it is suggested.

Unannounced return

  1. Tap Record unannounced return.
  2. Enter what is on the parcel (sender, delivery note, tracking number).
  3. Scan each item, enter the Quantity (and serial numbers if needed) and choose the Return reason. Tapping a row removes it again.
  4. Tap Book … units to the clarification bin – in a standard warehouse the button is called Book … units into the warehouse. You assign the return to an order or customer later in the ERP.

Scanning

  • Items via EAN/GTIN, item number, GS1 code or pack EAN. With several identical lines, the app jumps to the first one not yet decided.
  • Photos: JPG, PNG or WebP up to 5 MB.
