Check best-before dates in the warehouse app
Find expired and soon-to-expire batches in the selected warehouse, narrow them down by scan and block, rebook or write them off directly.
Under Internal → Check best-before dates you see all batches with stock in the selected warehouse, sorted by best-before date – the shortest first. It is the same check as in the ERP under Warehouse → Check best-before dates, just right at the shelf and limited to the selected warehouse.
You need the permission View stock. Warehouses you have no warehouse authorisation for cannot be selected.
Filters
| Filter | Shows |
|---|---|
| Expired | batches whose best-before date is before today |
| Expiring soon | batches that expire within the warning period |
| All with BBD | every batch with a best-before date (default) |
| Blocked only (switch) | additionally only blocked batches |
The Warning period is shown in the header. It applies to the whole company and is set in the ERP under Warehouse → Settings → Batches & best-before dates. The number on each filter button shows how many batches it contains.
Scanning
Use the scan field to narrow down the list:
- Item (item number, EAN/GTIN, pack EAN): all batches of this item.
- Batch (batch number): exactly this batch.
- Storage bin: all batches on this bin (WMS warehouse only).
- GS1 code with batch (AI 10): directly this batch of the item. Without batch but with best-before date (AI 17): the item's batches with exactly this best-before date.
The active filter is shown above the list; Clear shows everything again.
The list
For each batch you see the item, Batch, BBD with remaining shelf life, Bin (WMS warehouse only), Quantity and the Block. Red: expired, yellow: expiring soon, green: OK, grey: blocked. On a phone you see cards, on the desktop a full-width table.
Actions
Tapping a batch opens the details with the actions – the same as in the ERP, with the same permissions:
| Action | Permission | What happens |
|---|---|---|
| Block | Post stock movements | Batch goes into quarantine, optionally with a reason. Blocked batches are not picked, not sold at the POS and not withdrawn for production. |
| Unblock | Post stock movements | Remove the block (after confirmation). |
| Rebook | Transfer stock and maintain replenishment | Scan the batch quantity to another bin, e.g. a quarantine bin. WMS warehouse only. |
| Write off | Post stock movements | Book out the quantity with a reason (e.g. "Best-before date expired"). An outflow is booked in the stock journal. |
| Stock enquiry | – | Stock of the item in the stock enquiry. |
The block always applies to the whole batch – in all warehouses and on all bins. Write-off and rebooking only affect the stock on the selected bin.
If you lack a permission, the button is greyed out. Tapping it tells you which permission is missing.
Common errors
| Problem | Solution |
|---|---|
| Batch is missing from the list | Only batches with stock in the selected warehouse appear. Set the filter to All with BBD and turn off Blocked only. |
| Batch without best-before date is missing | All with BBD only shows batches with a best-before date. You find batches without one in the ERP under Warehouse → Check best-before dates (status "No BBD"). |
| Scan finds nothing | The code is neither an item, a batch nor a bin with batch stock in this warehouse. |
| "Expiring soon" shows too much or too little | Adjust the warning period in the ERP under Warehouse → Settings → Batches & best-before dates. |
