Stocktaking in the warehouse app
Count the bins of an open stocktake by scan, count due bins, record batches and serial numbers, handle recounts and the question "Bin empty now?".
You create stocktakes in the ERP under Stocktaking. For all warehouses, counting is done only in the warehouse app under Internal → Stocktaking – in the ERP, Count in the warehouse app opens the stocktake here. Nothing is booked until the stocktake is released in the ERP.
You need the permission Carry out stocktaking. Without it, the menu item is not shown.
What you see
- Count bins: if bins have not been counted for a long time (setting in the ERP), you see e.g. "12 bins have not been counted for 6 months". Count due bins creates a count list for them and opens it; if one is already in progress, the button is called Continue counting due bins.
- Open count lists of the warehouse with progress ("8 of 40 bins counted"), recounts, blind count and origin.
Step by step
- Tap a count list. The open bins are listed under To count (walking route).
- Scan the storage bin. In a WMS warehouse scanning is mandatory.
- Scan each item – each scan counts +1, a pack scan counts its factor (e.g. carton ×6). Tap an item to enter the quantity with the keypad.
- Items that according to the system are not on this bin are simply scanned – they are recorded as Found.
- Tap Bin done. If you have not counted some items, the app asks Uncounted items: Apply 0 and save or Continue counting.
- Scan the next bin. Once all are counted, someone with release permission releases the stocktake in the ERP.
In a standard warehouse there are no bins: tap Count stock in the warehouse, count the items under Items in the warehouse and tap Count done.
With a Blind count the target quantities are hidden. You can count a bin that has already been counted again – this overwrites the first count.
Take target quantities (paper count)
If you counted on the printed count list, you don't have to type in every line:
- Per bin: at the bin, tap Take target quantities – the expected quantities then appear as counted quantities. Only change the deviations and tap Bin done. For serial numbers, the expected numbers are taken over if they match the expected quantity.
- For all uncounted bins: in the count list, tap Take current stock for all uncounted bins (in a standard warehouse Take current stock). allverto saves the current stock as the count for every bin not yet counted. Bins with batch items without a batch or with mismatching serial numbers stay open and are listed. Afterwards you only recount the bins with deviations.
Both only work without a blind count and only for bins not counted yet. Whatever was counted in parallel stays unchanged.
Batches, best-before dates and serial numbers
For items requiring batches or best-before dates, the app asks for the Batch when you scan – or you create a new one (recorded as found). For items requiring serial numbers, you scan the individual Serial numbers; the quantity follows from them.
Recount
If the difference exceeds the warehouse's threshold, allverto requests a Recount. The bin then appears in the list again (yellow) and should be counted by another person – if you did the first count, the app points this out.
Bin empty now?
In other workflows too (e.g. Stock transfer), the app asks Bin empty now? after a withdrawal if the warehouse requires it. Yes counts the bin as empty, No creates a count task – Count now takes you straight here.
Scanning
- Items via EAN/GTIN, item number, GS1 code or pack EAN; batch and best-before date from GS1 codes are applied.
- If you scan another bin of the stocktake in the middle of a bin, the app reminds you to tap Bin done first.
Common errors
| Message | Solution |
|---|---|
| "… does not belong to this stocktake." | The bin is not part of this count list – choose the right list. |
| "First complete … ("Bin done"), then scan the next bin." | Tap Bin done. |
| "GTIN …: wrong check digit – please scan again." | Code damaged or poorly read – scan again or type it in. |
| Comment on the difference | The warehouse requires a comment for deviations – enter the reason and Save with comment. |
| "No open stocktake in this warehouse." | Create a count list in the ERP or choose the right warehouse. |
| "This stocktake has been released / cancelled." | Counting is no longer possible here. |
