Posting goods receipts (in the warehouse app)
Post delivered goods against a purchase order or freely – in the warehouse app, with scanner, bin suggestion and partial deliveries, in standard and WMS warehouses.
When goods arrive from a supplier, you post them in the warehouse app – for every warehouse, whether standard or WMS warehouse. In the ERP (desktop) there is no separate goods receipt page any more. allverto increases the stock and ticks off the quantities in the purchase order.
Before you start
- You need the permissions Use the mobile warehouse app and Post stock movements – you don't need a purchasing permission.
- The warehouse app runs on smartphones, tablets and handheld scanners, but also on the desktop in a browser tab.
Opening the warehouse app
- In the ERP via the Warehouse app icon at the top right of the header or under Warehouse → Warehouse app (mobile) – it opens in a new tab. There you choose Goods receipt → Goods receipt.
- Directly from a purchase order: in Purchasing → Purchase orders, click Goods receipt in the warehouse app (also via right-click). The warehouse app opens in a new tab with this purchase order.
- On the device you open
/mobilor your company's warehouse subdomain – see Warehouse app: overview.
Old bookmarks to the former goods receipt page automatically redirect to the warehouse app.
Posting against a purchase order
- Scan or select the delivery under Expected delivery notes (delivery note number, purchase order number, supplier or an item). Transfers from other warehouses and – for fulfillers – your merchants' advance shipping notices (FFN) are listed there too.
- Scan the items and confirm the Quantity. For batch, best-before date or serial number items, Batch & best-before date follows.
- Choose the destination:
- WMS warehouse: scan the storage bin (with put-away suggestion) – or the Goods receipt bin if you distribute later via put-away.
- Standard warehouse: there are no storage bins – tap Apply, the goods are posted directly into the warehouse.
- Finally, Book delivery.
With a partial delivery, the purchase order stays “partially delivered” until the rest arrives. If more arrives than ordered, the app asks Accept over-delivery? All details: Goods receipt in the warehouse app.
Posting without a purchase order
For goods without a document, use Goods receipt → Free goods receipt – see Free goods receipt.
Good to know
- Damaged or wrong goods become a clarification case: in a WMS warehouse onto the clarification bin, in a standard warehouse with Set aside (clarification case) – you put the goods aside.
- Blocked bins and returns bins are never suggested and are rejected when posting.
- You find all receipts in the ERP under Warehouse → Movements and in the purchase order.
- You count large quantities with × Quantity and one scan; unknown carton EANs can be assigned as a pack right away – see Enter quantity, then scan.
- If the rest of a purchase order won't arrive, you close it in the purchase order – see Purchase orders.
- In the ERP you only correct stock – see Correct stock.
