Taxes & language
Three tabs – Tax rates & OSS (EU rates with "valid from", OSS and delivery threshold, warehouses abroad), Tax classes & tax types and Languages (item texts, interface and document language).
Under gear icon → Taxes & language you define which VAT rates allverto uses in Germany and the other EU countries, whether your company takes part in the OSS scheme and which languages you work in. The page has three tabs:
| Tab | Content |
|---|---|
| Tax rates & OSS | OSS status and delivery threshold per company, warehouses abroad, country table of EU tax rates |
| Tax classes & tax types | Your company's tax details, tax classes and taxation on documents (for reference only) |
| Languages | Languages for item texts, the company's interface language, your language, document language |
The home currency and further currencies have their own menu: gear icon → Currencies (see Currencies).
Each tab has its own address (e.g. /einstellungen/steuern?tab=sprachen), so you can bookmark it.
Before you start
Roles that work with documents, orders or finances can view the page (e.g. with "View quotes, delivery notes and invoices" or "View financial data"). Only roles with the "Edit company details" permission can change it (usually the Owner). Without this permission, countries open in view-only mode and the Edit button for OSS is missing.
How allverto calculates
- The item has a tax class (standard, reduced, tax-free). In a transaction, the rate of this class in the tax country applies.
- For private customers in the EU, the tax country is the delivery country as soon as the company takes part in OSS or the delivery threshold has been exceeded – otherwise it's the country of the company or the warehouse.
- Businesses with a VAT ID in other EU countries: intra-Community supply (0 %). Non-EU country: export (0 %).
- You enter rate changes in advance with "valid from". Existing orders and documents remain unchanged.
Tax rates & OSS tab
At the top there are compact cards: the OSS status with the delivery threshold for each company and, next to it, Warehouses abroad. Below, the country table spans the full width.
The country table
It shows all EU countries with the rates valid today:
| Column | Meaning |
|---|---|
| Country / Name | Country code and name |
| Tax zone | Domestic (your company's country), EU or Non-EU country |
| Standard / Reduced | Standard rate and reduced rate |
| Other rates | Other permitted rates of the country |
| Valid from | Since when the current version applies |
| Planned change | A future version with date and rates (yellow) |
| Source | Default (maintained by allverto) or Own version |
| Note | e.g. source or change in law |
Step by step: enter a rate change
- Open gear icon → Taxes & language, Tax rates & OSS tab.
- Double-click the country (or right-click → Edit rates…). The Tax rates … popup shows all versions; the one valid today is marked "valid today".
- Use Apply to load an existing version into the form as a template.
- Fill in:
- Valid from – for a planned change, a date in the future.
- Standard rate (%) and Reduced (%) – the reduced rate applies to items with the "reduced" tax class.
- Other rates (%) – separated by semicolons, e.g.
13; 5. - Note – optional, e.g. the source.
- Click Save version.
A version with the same date replaces the existing one. The newest version whose "valid from" is before the transaction date always applies. You delete your own versions with the bin icon; if there was a default on that date, the default applies again afterwards.
OSS and delivery threshold
Private customers in other EU countries pay their country's rate as soon as the company takes part in the OSS scheme or the EU-wide delivery threshold of €10,000 net (previous year or current year) has been exceeded.
Each company has its own OSS and delivery threshold card at the top with:
- "OSS participation from …" or "No OSS participation" and "Threshold monitored" or "Threshold not monitored",
- a bar showing the EU distance sales of the previous year and the current year,
- which rate applies to new transactions with EU private customers (destination country or the company's country).
#### Set up
- In the company's card, click Edit.
- In the OSS – … popup:
- Participation in the OSS scheme switch – turn it on if the company is registered with the BZSt (German Federal Central Tax Office). EU private customers then always pay their country's rate.
- Participation from – first day of the quarter after notifying the BZSt; empty = for all new transactions.
- Monitor delivery threshold switch – warns from 80 % of the threshold; once it's exceeded, allverto automatically calculates with the destination country's rate.
- EU distance sales … before allverto (net) for the previous year and the current year – sales from the time before allverto that count in addition to the invoices in allverto.
- Click Save.
The setting applies to new quotes, orders and invoices of this company; existing transactions remain unchanged.
Warehouses abroad
If shipping starts from a warehouse in another EU country, that country's tax law applies: deliveries within the warehouse country at its rates, from there to other countries at the destination country's rate. This requires a VAT registration in the warehouse country – you enter the additional VAT ID in the company (see Company details).
The Warehouses abroad card lists all warehouses outside your country and shows "registered" or "no VAT ID". The order's warehouse is decisive, otherwise the default warehouse. You maintain the country in the warehouse's address. From the card you can go directly to the warehouses, the companies and the OSS report.
Tax classes & tax types tab
At the top is a Your company row with VAT ID, tax number and whether the Small business scheme (§ 19 UStG) is active; you can change this via Open company details. Below it, two reference tables sit side by side.
Tax classes
| Tax class | Rate in Germany | Examples |
|---|---|---|
| Standard (19 %) | 19 % | Accessories, machines, services |
| Reduced (7 %) | 7 % | Food such as roasted coffee, books |
| Tax-free (0 %) | 0 % | Tax-exempt or non-taxable sales, e.g. multi-purpose vouchers |
In other countries, the class's rate from the country table applies.
Taxation on documents
Selectable per quote, order or invoice; the note text appears on the document and in the e-invoice. The Category column shows the e-invoice tax category code.
| Taxation | When |
|---|---|
| With VAT | Domestic and private customers in the EU |
| Intra-Community supply | Goods to businesses in another EU country with a VAT ID, tax-exempt |
| Reverse charge | Service to businesses in another EU country, tax liability lies with the recipient |
| Small business | No VAT under § 19 UStG |
| Export (non-EU country) | Delivery to a country outside the EU, tax-exempt |
Languages tab
On the left you maintain the Languages for item texts (see below); on the right you see the other language settings under Interface and documents:
| Setting | Meaning | Where to change |
|---|---|---|
| Company interface language | allverto's language for all users without their own language (German, English, Spanish, Italian, French, Polish) | Directly here or under My profile → Language; only with the "Edit company details" permission |
| Your language | Your own interface language or "Company default" | My profile → Language; for other staff under Settings → Users, Language column |
| Document language | Language of quotes, invoices and emails. It's set on the customer; new customers get German. | In the customer window, Language field (7 languages: German, English, French, Italian, Spanish, Dutch, Polish) |
Interface and document language are independent: if your team works in English, German customers still receive German invoices.
Languages for item texts
Here you define in which languages you maintain item texts – like the languages in JTL-Wawi. German is the base language and always included; its texts are stored directly on the item. Every additional language appears as its own tab:
- in the item window in the Description tab (name, short description, description, SEO) and in the safety information,
- in the category window in the Descriptions tab,
- in the translations of characteristics and characteristic values and in the language selection of attributes and item files.
The defaults are English, French, Italian, Spanish, Dutch and Polish. You can choose from the EU languages and common trade languages, e.g. Czech, Danish, Swedish, Portuguese, Turkish, Ukrainian, Chinese or Japanese. The language names appear in the language of your interface.
#### Step by step
- Open gear icon → Taxes & language, Languages tab.
- In the Languages for item texts section, click Additional languages. The list has a search – type e.g. "Cze" for Czech.
- Tick the languages you want to maintain; use the cross on an entry to remove a language again.
- Click Save. The tabs in the item and category windows follow the new selection immediately (alphabetically by name).
Roles with the "Edit company details" permission can make changes; everyone else can only view the selection.
- JTL migration: transfers item texts in all active languages. Texts in other languages are skipped with an entry in the log – activate the language beforehand if you want to transfer them.
- allverto Shop: in the channel's connection settings you enter the shop's language ID for each language; texts in languages with a language ID are transferred.
- Documents (quote, invoice …) stay with the customer's document languages (German, English, French, Italian, Spanish, Dutch, Polish). If a translated item name is saved for the document language, it appears on the document.
Frequently asked questions
Do old invoices change if I adjust a rate?
No. Existing orders and documents keep their rates. The new version applies to transactions from its "valid from" date.
I've only recently started selling via allverto. How does the delivery threshold count my earlier sales?
Enter the EU distance sales from the time before allverto in the OSS – … popup under EU distance sales … before allverto (net). They count in addition to the invoices in allverto.
