Multiple companies in one tenant

GuideNewLast checked on 20/10/2026

Run several legal entities in one allverto account – with their own sender details, bank account, letterhead and document numbers, but shared items, warehouses and customers.

With companies you run several legal entities or brands in one tenant (your allverto account) – just like the companies (Firmen) in JTL-Wawi. All companies share items, warehouses, customers and users. But each company has its own sender details, its own bank account, its own logo, its own email sender and, if you like, its own document numbers.

Tenant or company?

TermWhat it isWhere to find it
TenantA separate allverto account: its own items, warehouses, customers, users and subscriptionHeader bar at the top: the Tenant menu with the tenant's name – this is where you switch between your tenants and find Add tenant
CompanyA legal entity within the tenant, e.g. "Bergröster GmbH" and "Bergröster Handels UG"gear → Companies

If you need separate items and warehouses, create another tenant. If the companies share goods and customers and only differ on documents and in accounting, create another company.

Before you start

  • Companies can be created and edited by anyone with the "Edit company details" permission – by default only the Owner (the Administration role does not have it). With "View quotes, delivery notes and invoices" you can only view the companies.
  • Your existing company details automatically become the default company. All existing orders and documents belong to it.
  • How many companies a tenant can have depends on the plan (Jolle and Kutter 1, Frachter 3, Flotte unlimited). At the top of the Companies page you'll see the tenant with "… of … used"; once the limit is reached, Create company shows you how to change plans. You can change the tenant's name there with Rename tenant.

Step by step: creating a second company

  1. Click the gear at the top right and open Companies.
  2. Click Create company.
  3. Master data tab: Name in lists, Abbreviation (1–6 characters, e.g. HU), Company name with legal form, address and contact.
  4. Tax & register tab: VAT ID or Tax number, the Small business switch, register, management, optionally creditor ID, EORI number, further VAT IDs in other countries and your own DATEV numbers (Consultant number, Client number at DATEV).
  5. Bank tab: main bank account (shown on invoices and in the e-invoice), optionally further accounts, collection account for SEPA direct debits, payment terms and validity of quotes.
  6. Letterhead & logo tab: additional line in the letterhead, closing text and Email sending of documents (Sender name and Reply address). E-invoice tab: this company's e-invoice format.
  7. Create company. After that you can upload the logo in the Letterhead & logo tab, and the Number ranges tab appears.

Which company does an order get?

  • Sales channel: on the Companies page, in the Sales channels → company section, you assign a company to each shop or marketplace. New orders from that channel then belong to that company.
  • Otherwise the default company applies.
  • In the order window you'll find the Company field under Transaction data → References and can change it there.
  • In the order list you select several orders and choose Assign company… in the selection bar (only visible if there are several companies).

What ends up on the documents

Quotes, order confirmations, delivery notes, invoices, credit notes and cancellations take everything from the document's company: sender, logo and letterhead, footer with register and bank details, the information in the XRechnung/ZUGFeRD and, when sending by email, the sender name and reply address. Credit notes and cancellations always belong to the company of the original invoice. Dunning letters also come from the invoice's company.

Separate invoice numbers per company

By default all companies count together (gear → Number ranges). For separate bookkeeping, open the company, Number ranges tab, and switch on Own document numbers for this company. The company then gets its own gap-free ranges with its abbreviation, e.g. HU-RE-2026-00001. You can adjust the prefix, digits and next number per document type. For invoices, credit notes and cancellations the next number can only go up.

Reports and accounting per company

  • Orders and documents: Company column and Company filter (filter or right-click the column).
  • Finance → DATEV export: choose the company – the batch only contains its invoices, credit notes and payments, with its consultant and client number (if stored for the company).
  • The OSS report and Open items can also be filtered by company. See OSS report.

Default company and archiving

  • Right-click a company → Set as default company. The default company applies to channels without their own company and to documents without an order. Existing orders and documents keep their company.
  • Archive … (right-click, only with the permission “Edit company details”) opens a dialog that shows everything standing in the way of archiving – with number, customer and amount; clicking a number opens the transaction:
    • Default company: choose in the dialog which active company becomes the new default company.
    • Open orders and open quotes: with Hand over to … they go to the company selected under Hand over to. Order and quote numbers stay; sender, logo, print template and the numbers of the next documents then come from the new company. The order history shows “Firma geändert … (wegen Archivierung von …)” (company changed due to archiving). For orders you also need the permission “Edit orders”, for quotes “Edit quotes” – otherwise the option is missing.
    • Not handed over are orders with an invoice, delivery note, partial delivery or shipping label and orders being picked or packed; quotes from a migration and quotes whose tax treatment would change with the new company (e.g. small business). The dialog gives the reason for each – please complete them first.
    • Open invoices always stay with their company (GoBD). Record the payment or create a credit note; Show open invoices of this company opens the filtered invoice list.
    • Sales channels: Hand channels over to … assigns them to the new company.
  • Hand over and archive does everything in one step – if any part fails, nothing changes. As long as something is still open, the button stays disabled and the dialog shows what is missing at the bottom. Archived companies can no longer be assigned; their documents are kept. Restore brings them back.
