Number ranges
Set prefix, suffix, digits and next number for orders, invoices, customers, debtors and other documents.
Every order, every invoice, every customer and many other documents get their number from a number range. You decide what the numbers look like – e.g. RE-2026-00001 or AU-10001.
Before you start
Roles with the permission "Manage number ranges" can make changes (usually Owner and Administration). Without this permission you don't see the page.
The number ranges
The list under gear icon → Number ranges (group General) is grouped by area:
| Area | Number ranges |
|---|---|
| Sales | Orders, customers, debtors, subscriptions, returns |
| Documents | Quotes, order confirmations (no longer used – the order confirmation carries the order number), delivery notes, invoices, credit notes, cancellation invoices |
| Purchasing | Suppliers, purchase orders, goods receipts, requests for quotation, supplier returns |
| Warehouse | Pick lists, stocktakes, transfer orders, stock removals, freight shipments |
| POS | POS receipts |
| Production | Production orders |
| Finance | Reminders, supplier invoices (internal number ER-…), SEPA mandate references, direct debit batches, payment runs |
The columns show Prefix, Suffix, Digits, Restart, Next number and the Preview – the next number as it will be assigned. Right-click → Copy next number copies the preview.
Step by step: change a number range
- Open gear icon → Number ranges.
- Double-click the row (or right-click → Edit…, or Enter).
- Adjust:
- Prefix and Suffix – text before or after the number. Use the buttons below to insert placeholders:
{YYYY}(year, four digits),{YY}(year, two digits),{MM}(month). - Digits (pad with zeros) – e.g. 5 gives
00042; 0 = no leading zeros. - Next number – the next number to be assigned.
- Restart – Continuous keeps counting up, Restart yearly starts at 1 every year and requires
{YYYY}or{YY}in the prefix or suffix.
- Prefix and Suffix – text before or after the number. Use the buttons below to insert placeholders:
- Check the Preview of the next numbers in the dialog and save.
Rules for invoices (GoBD)
For invoices, credit notes, cancellation invoices, POS receipts, reminders and supplier invoices you may only increase the next number, never decrease it – so that no number is assigned twice. The field shows the hint "Increase only – at least …". Every change is recorded in the change log.
For all ranges, allverto also checks on saving whether the next number is already taken and looks for the highest number already assigned with the same prefix and suffix: the next number must be above it, otherwise allverto rejects the change and names that number. If you reset orders from 10500 to 10100, for example, the following numbers would otherwise clash with existing orders – even if 10100 itself happens to be free.
Debtor numbers
The Debtors range automatically assigns a debtor number for accounting (e.g. for the DATEV export) when a customer is created. It starts after the highest existing debtor number. If you don't need automatic debtor numbers, turn off the Assign automatically switch in the dialog – the field then stays empty and is maintained by hand.
The SEPA mandate references range can be switched off in the same way: you then enter the reference yourself when creating a SEPA mandate. Reminders, supplier invoices, direct debit batches and payment runs always take their number from their range – set prefix and next number, for example, so that you continue the numbers from JTL-Wawi.
Separate numbers per company
If you run multiple companies in your tenant, all companies share these ranges by default. To give a company its own gapless document numbers, enable it in the company: gear icon → Companies → open the company → Number ranges tab → Own document numbers for this company.
