Custom fields

GuideLast checked on 15/10/2026

Create additional fields for orders, quotes, line items, customers, items and categories – with type, group, options and required flag.

With custom fields you record details that allverto doesn't have out of the box – such as a project number on the order, the roast profile on the item or the agreed delivery times with a customer.

Where are custom fields available?

ForSet up underFill in in the
Transactions (quotes, orders)Sales settings → Custom fields, "Applies to" Transactiontransaction editor, Custom fields section
Line itemssame, "Applies to" Line itemtransaction editor, Custom fields (line item)
Customerssame, "Applies to" Customercustomer window, custom fields in groups
ItemsItem settings → Custom fieldsitem window, Custom fields tab
CategoriesItem settings → Categoriescategory window, Custom fields tab

You open the settings windows in the respective area at the bottom left via Settings – see Settings window per area.

Before you start

  • Fields for transactions, line items and customers can be changed by roles with "Manage document defaults (payment methods, process statuses, text templates, custom fields)".
  • Fields for items and categories can be changed by roles with "Edit items".

Step by step: create a field for orders, line items or customers

  1. Sales area → Settings at the bottom left → Custom fields.
  2. Click Create field.
  3. Choose Applies to (Transaction, Line item or Customer) and the Type:
    • Text, Text (multi-line), Number, Date, Yes/No, Selection
    • Secret (masked) – the value is only shown hidden
  4. Enter the Label (e.g. "Project number") and the Key (e.g. projekt_nr; lowercase letters, digits and underscore only). The key cannot be changed later because the saved values depend on it.
  5. Optionally a Group, e.g. "Logistics" – fields in the same group appear together in one section. Existing groups are suggested; empty = no group.
  6. For the Selection type, enter the Options (one value per line or separated by commas).
  7. If needed, turn on the Required field switch – transactions or customers then cannot be saved without a value. With the Active switch you can hide a field later without deleting it.
  8. Save.

The list shows the fields separated by transaction, line item and customer, with the markers Required and Inactive. Use the pencil to edit a field and the bin to delete it; if it's already used on transactions, deactivate it instead.

Fields for items and categories

  1. Items area → Settings at the bottom left → Custom fields (for categories: Categories).
  2. Create a new field: Name, Type (Text, Number, Selection, Yes/No or Date), for Selection the Options (one per line), optionally a Group and the Required field switch.
  3. Right-click a field: Edit…, Archive or Restore and Delete… – deleting is only possible as long as no item uses the field; otherwise archive it.
