Vouchers
Sell multi-purpose vouchers or create them manually, manage codes and remaining balances, and redeem vouchers on orders, at the POS and in shops – including partial amounts.
Under Sales → Vouchers you manage multi-purpose vouchers with a remaining balance. A voucher is created when you sell a voucher item (invoice or POS), when you refund as a voucher at the POS, or when you create it manually. You can redeem it in the Payments dialog of an order, at the POS and – if set up – in your shops, including in partial amounts; any remainder stays on the voucher. All places share the same remaining balance: allverto is the central voucher account.
How vouchers are created
| Origin | When |
|---|---|
| Sale (invoice) | When an invoice with a voucher item is issued – one voucher per unit for the paid line amount. |
| Sale at the POS | When a receipt with a voucher item is completed – one voucher per unit. The code is printed on the receipt under Your voucher. |
| Refund at the POS | For a return at the POS with the refund method voucher – a new voucher for the refund amount. |
| Created manually | Via Create voucher, e.g. as a gift, goodwill gesture or replacement. |
You turn an item into a voucher with the Voucher item switch in the Prices tab (see Prices). allverto then sets the tax class to tax-exempt and turns off stock management: when sold, a multi-purpose voucher is not taxable – tax is due on the goods later paid for with it.
Step by step: create a voucher manually
- Open Sales → Vouchers and click Create voucher at the top right (or, in the main menu under Create new, click New voucher).
- Enter the Value, e.g. €50.00.
- Optional: under Quantity you can create several identical vouchers at once (up to 500) – each gets its own code.
- allverto generates the code automatically. If you want your own, turn on Assign your own code and enter the Voucher code (3–40 characters: letters, digits and hyphens, e.g. SOMMER-2026). A custom code only works for a single voucher.
- Check Valid until. The date from the settings is suggested; with the Valid indefinitely switch, the voucher never expires.
- Optional: assign a Customer and enter a Note – the note appears on the printed voucher, e.g. a greeting.
- Click Create voucher.
For a single voucher, its window opens right away, where you can print it via Print (PDF).
The list
By default, the list shows the vouchers issued in the Last 30 days. You can filter by Issued (period) and Status. The Search finds code, customer, order, invoice and receipt – across the entire period, so that old vouchers can always be found too. Hyphens and upper/lower case don't matter in the search.
At the top right above the list you'll see the Open balance (active) – the sum of the remaining balances of all active vouchers in the view.

Open and change a voucher
Double-clicking a row opens the voucher window. At the top you see Status, Value, Remaining balance and Redeemed. You can change Valid until (or the Unlimited switch), the Customer and the Note – then Save. Value and remaining balance only change through transactions.
Under Transactions every movement is listed with Time, Transaction (Output, Redemption, Redemption cancellation, Adjustment), Amount, Balance afterwards, Document (invoice, receipt, order or shop with order number), Text and User. Copy code copies the code to the clipboard.
Right-click menu
- Open
- Print voucher (PDF) – using the "Voucher" print template
- Copy code – with several rows selected, all codes
- Block … or Unblock
- Go to order, Show invoice, Open customer
Block and unblock
- Right-click the voucher → Block … (or Block … in the voucher window).
- Enter a Reason (at least 3 characters), e.g. "reported lost".
- Click Block.
A blocked voucher can be redeemed neither on an order nor at the POS. The remaining balance is kept; Unblock is possible at any time.
allverto also blocks vouchers by itself: when the invoice they come from is cancelled, when a POS receipt with a voucher item is cancelled or reversed, and with an invoice correction covering voucher lines.
Redeem on an order
- Open the Payments dialog of the order (right-click → Payment …, see Orders).
- Click Redeem voucher.
- Enter or scan the Voucher code and click Check (or Enter). allverto shows the status, Remaining balance, Valid until and – if assigned – the customer.
- Under Redeem on, choose the order or invoice with an open amount.
- The Amount is suggested: the remaining balance, at most the open amount. You can reduce it.
- Click Apply and then Save in the Payments dialog.
The amount is only deducted when you save. A blocked, expired or fully redeemed voucher is rejected, as is an amount above the remaining balance. If you cancel the voucher payment later, the amount is credited back to the voucher (Redemption cancellation).
Redeem at the POS
- Tap Payment and choose the payment method Voucher.
- Enter or scan the Voucher code and tap Check.
- The POS shows the code, status and remaining balance and suggests the amount. You can enter a smaller amount using the keypad.
- Tap Redeem voucher. The customer pays the rest with another payment method.
Partial amounts are possible – any remainder stays on the voucher. The amount is only deducted when the receipt is completed. If the receipt is cancelled, allverto credits the redeemed amount back to the voucher. More about payment at the POS: Selling at the POS.
Redeem in shops
Vouchers from allverto can also be redeemed at the checkout of your shops – with the same remaining balance as at the POS and on orders. You switch this on per sales channel: right-click the shop under Sales channels → Vouchers ….
- WooCommerce (and later Shopware and the allverto Shop): a plugin checks the code with allverto, reserves the amount when the order is placed and books it as soon as the order is accepted. Reserved amounts are no longer available at the POS or in the Payments dialog.
- Shopify: allverto creates the vouchers as Shopify gift cards with the same code and synchronises the balance.
When orders are fetched, a voucher redeemed in the shop appears on the order as a payment (voucher with code), not as a discount. The voucher's Transactions show the shop with the order number. Setup and details: Vouchers in shops.
Settings
Open Sales → Settings (window Sales settings) and under Documents & transactions choose Vouchers. You may change them with the permission "Manage document defaults (payment methods, process statuses, text templates, custom fields)".
| Setting | Meaning |
|---|---|
| Prefix | Up to 8 letters/digits before the code, empty = none (default "GS") |
| Blocks / Characters per block | Structure of the code, 2–5 blocks of 3–6 characters each. Codes contain no easily confused characters (0/O, 1/I/L). |
| Valid for | Validity of new vouchers in years or Unlimited (default 3 years) |
| Until the end of the year | Switch: validity ends on 31 December – like the standard limitation period under German law (§§ 195, 199 BGB) |
| Redemption posting account | Account for redemptions (DATEV), empty = none |
The validity is only a suggestion for new vouchers; the date can be changed on the voucher itself at any time.
Frequently asked questions
What's the difference from the "Voucher" line on an order?
The Voucher line in the transaction window is just a deduction line without a code and without a remaining balance. You redeem vouchers with a code via Redeem voucher in the Payments dialog.
Can customers redeem their vouchers in a shop?
Yes, if you switch it on for the sales channel and – depending on the shop – set up the plugin or activate the Shopify sync (see Vouchers in shops). The plugin for the allverto Shop is still to come. The shop's own coupons and discount codes still come into the order as a deduction line (see allverto Shop) and are not connected to the vouchers here.
Where can I see all vouchers of a customer?
In the customer window, in the Vouchers tab – with no time limit. Double-clicking opens the voucher with its transactions.
What happens with a credit note for a sold voucher?
With an invoice correction covering voucher lines, allverto blocks one voucher of the invoice per credited unit – unused ones first. If those aren't enough, allverto asks before also blocking vouchers that have already been redeemed; the redeemed part cannot be recovered. See Credit notes and cancellations.
