CRM – Tasks and follow-ups

GuideNewLast checked on 20/10/2026

Create, assign and complete tasks with due date, reminder and priority for customers, contacts, orders, quotes and invoices. With reminders in the bell and a tasks icon in the header.

Tasks are follow-ups such as “Follow up on quote” or “Call customer back”: with due date, reminder, priority and an assigned person. They belong to the add-on module CRM and are found under Sales → Tasks.

Create task

You can create a task from anywhere – the references are then already filled in:

  • Ctrl+K → “Create task” or Sales → Create new → New task
  • Header: tasks icon → New
  • Customer window → tab Activities → Create task … or right-click a contact
  • Right-click an order, a quote or an invoice → Create task … (customer and document are taken over)
  • Right-click an entry in the timeline

In the dialog:

  1. Enter a Title, optionally a Description.
  2. Choose Due on (prefilled: today) and optionally a Time. Without a time, the task is due by the end of the day.
  3. Choose the Reminder: when due, 15 minutes, 1 hour or 1 day before, a custom time or none. Without a time, allverto reminds you at 8:00 am.
  4. Choose Priority (high, normal, low) and Assigned to – prefilled with yourself.
  5. Optionally Customer and Contact; a reference to an order or document can be removed.
  6. Save.

If you assign a task to someone else, that person immediately gets a notice in the bell.

Reminder in the bell

When the reminder time is reached, the assigned person gets an entry “Task due: …” in the bell (and briefly as a message at the top right). A click opens the task. allverto checks for this every minute; if the time is already more than a few minutes in the past when the task is created, there is no belated reminder. If you change the due date, reminder or assignee, allverto reminds again.

Tasks icon in the header

Next to the bell, the tasks icon shows how many open tasks of your own you have – red if any are overdue. A click shows the next tasks: the circle on the left completes a task directly, a click on the title opens it, All tasks leads to the list.

Task list

In the left sidebar under Tasks you choose the view:

ViewShows
My openYour open tasks, the next ones first
OverdueYour tasks whose due date has passed
Due todayYour tasks due today
All openOpen tasks of all people – filter by assignee at the top
DoneCompleted tasks, most recently completed first

The circle in the first column completes a task or reopens it, double-click edits it. Overdue tasks are highlighted in red. The right-click menu also lets you open the customer or the order or document.

Completing

A completed task appears as Task completed in the customer’s timeline – with the date and who completed it. If you reopen it, this entry disappears. Completed tasks remain in the Done view.
