The transaction editor: layout and line items

ReferenceLast checked on 15/10/2026

One screen for quote, order, invoice, credit note, delivery note and order confirmation – the four areas, line types and keyboard shortcuts.

Quotes, orders, invoices, credit notes, delivery notes and order confirmations all open in the same screen – laid out as in JTL-Wawi. The title reads “Document type – Number – Customer (customer number)”.

The four areas

AreaTabsContent
Top leftTransaction data, Attachments, CostsCustomer, references (e.g. the customer's order no.), billing and delivery address with contact person; files for the transaction; additional costs
Top rightDetails, Texts, Custom fieldsStatus, taxes, payment, references, shipping; header and footer texts with templates; your own custom fields
Bottom leftLine itemsTable with all line items, directly editable
Bottom rightSummary, History, Fields (line)Totals, payments, shipping info; notes and change history; custom fields of the selected line

If the window is narrow, the areas are stacked on top of each other. In wide windows you can move the divider between top and bottom; allverto remembers the height.

Below the title, the header shows the status and flags of the transaction, for an order e.g. Created by …, Ship no earlier than …, Partially shipped or dropshipping purchase orders. To the right are the actions – for an order Shipping label, the next action (e.g. Payment …) and More, for documents PDF and Actions.

Line items

You add items via the search field Search items… (name, item no., EAN). Next to it are Custom line and Shipping (shipping costs), and in the More menu also:

  • Text / heading – a subheading or note text without a price,
  • Discount as a line and Voucher,
  • Discount (%) for all… – one discount for all item lines,
  • Recalculate prices (item master data) – fetch prices again based on customer group, tiered prices and special prices.

You edit cells by double-clicking, pressing F2 or simply starting to type; Enter saves, Tab jumps to the next cell, Esc cancels. Right-click a line for: Open item, Move up/Move down, Duplicate, Set discount (%)…, Recalculate price, change the Line type and Delete (Del). Depending on the line, Edit configuration…, Custom fields of this line and, for orders, Create dropshipping purchase order… are added. For orders, the row is coloured according to the stock allocation: allocated green, shortfall orange.

You choose which columns the table shows just like in any table – separately for each document type (see Tables).

Saving and output

In the footer:

  • the note Unsaved changes or All changes saved and the gross total,
  • After saving: No output, Show PDF, Print or Send by email (for orders the entries are called Order confirmation: Show PDF etc.),
  • Output – print, email, save, export and preview, as soon as the transaction has been saved,
  • Cancel and Save (Ctrl+S) with Save & close and Save & new (for orders and quotes).

For orders from shops and marketplaces you also see the Update in the online shop switch – currently greyed out; its hint explains why.

What is read-only

Invoices, credit notes, delivery notes and order confirmations cannot be changed once issued. The footer then shows the reason, Output and Close. An invoice in Draft status remains editable (Save draft) until you issue it with Finalise (see Create an invoice). Corrections are made via a credit note or a cancellation (see Credit note and cancellation). Quotes remain editable until you convert them into an order.

In a separate browser window

Using the button in the title bar, you open the transaction in its own browser window, e.g. for a second screen. With To main window or Ctrl+Shift+H you bring it back – unsaved changes come along. More in Windows: move, pop out, remember size.
