Enter an order
Create an order manually – choose the customer, enter line items, set payment and shipping, save.
Orders from shops and marketplaces come in automatically. Orders placed by phone, by email or from B2B customers are entered as a new order. This opens the transaction editor – the same form you also use for quotes and invoices.
Before you start
To create orders you need the permission Create and edit orders (e.g. role Sales or Administration). For invoices, your company details must also be complete later on (see Company details, logo, taxes and currency).
Step by step
- Open Sales → Orders and click New order at the top right. Alternatively: menu Sales → Create new → New order, or in the customer window or by right-clicking a customer, New order ….
- An empty order window opens. In the Customer number field, search by customer number, name or email. If the customer doesn't exist yet, click Create new customer (icon next to the search), choose Business customer (B2B) or Consumer (B2C) and fill in the address.
- allverto takes the billing and shipping address from the customer. Using the address fields, you can pick a different address from the address book, set a contact person or Edit the address. If the shipping address is the same, choose Same as billing address.
- Enter the Line items at the bottom left: type into the Search items… (name, item no., EAN) field and choose the item. You can change quantity, price, discount and tax rate directly in the table (double-click or F2).
- For lines without an item, use Custom line or Shipping (shipping costs). Under More you'll also find Text / heading, Discount as a line, Voucher and Discount (%) for all….
- At the top right, in the Details tab, check Status, Taxes, Payment (payment method, payment terms, early-payment discount) and Shipping (e.g. Shipping method, Ship no earlier than, Delivery options, Preferred delivery).
- In the footer at the bottom, use After saving to choose whether the order confirmation should be displayed (Order confirmation: Show PDF), printed or sent by email – or No output.
- Click Save (Ctrl+S). The arrow next to it offers Save & close and Save & new.
After saving, the order gets its number from the number range and appears in the order list with the status New. At the top of the order window you'll see Created by … with your name. The ordered quantities are now reserved in stock.
What comes next
- Once payment has arrived: right-click the order or, in the window, → Payment … (also partial payments and deposits, see Orders).
- Picking the goods: pick lists are only available in the warehouse app. In the order list, select the orders and click Create pick list – this opens the pick list overview of the warehouse app in a new tab.
- Shipping: Shipping: print labels and ship orders.
- Invoice: Create an invoice and send it as an e-invoice.
