Design print templates

GuideLast checked on 20/10/2026

Design the layout of quotes, order confirmations, delivery notes, invoices, credit notes, cancellations, dunning letters and vouchers, of labels, pick and packing lists, return slips, stock valuations as well as supplier orders, price requests and supplier returns yourself – with placeholders, logo, barcode and GiroCode.

With print templates you decide for yourself what your documents, labels, warehouse lists and purchasing documents look like – similar to the print templates in JTL-Wawi, but directly in the browser. You find all template types in one place: Settings (gear icon) → Printing & output → Print templates.

Printing, emailing, saving and previewing work everywhere via the Output button – in the selection bar of the lists, in the footer of the windows and in the right-click menu (see Print agent and output).

As long as you don't set a default template for a type, allverto prints using the built-in layout. So nothing changes until you want it to. Such types appear in the list as a separate row “… – built-in layout” with the Built-in flag.

Step by step: your own invoice template

  1. Open Settings → Printing & output → Print templates and click New template.
  2. Choose the Template type (e.g. invoice), a name and company if needed, and a Starter template: “DIN 5008 (default)” looks like the built-in documents, “Modern” has colour bars and a GiroCode, “Compact” fits many line items on one page.
  3. Leave the Use as default switch on if new invoices should be printed with this template right away, and click Create and design.
  4. Design the page in the editor (see below) and check it with Preview (PDF) – with sample data or a real invoice (search field to the left of the preview).
  5. Save (Ctrl+S).

It's quicker from the row “Invoice – built-in layout”: Edit… takes over the built-in layout as your own default template and opens it; Create with another starter template… opens the dialog with this type.

Good to know: Documents already issued keep their saved PDF (GoBD). A changed template only affects new documents.

The editor

  • On the left you insert elements: text, field (a placeholder), image, logo, line, rectangle, address, info block and barcode (also as a QR code). Below that are the elements on the page and the placeholders – a click inserts the placeholder into the selected text.
  • In the middle is the page, true to scale, with rulers in mm. Drag elements with the mouse; use the handles to resize them. Elements snap to 1 mm; hold down the Alt key to move without snapping. Dashed lines show the address field according to DIN 5008, the fold and punch marks and the Flow area. Right-clicking an element offers Cut, Copy, Paste, Duplicate, the layers (Bring to front … Send to back) and Delete. In the flow area you click the individual blocks (subject, notes, table …) to select them and drag them (see below); double-clicking next to them opens the Edit flow area dialog.
  • On the right are the properties of the selected element (position and size in mm, font, size, bold, alignment, colour, pages). If nothing is selected, you set the page, font, colours and Watermark; the Flow area section shows a short overview and opens all settings with Edit flow area ….
  • At the top you switch between First page and Following page, zoom (25–200 %, “Fit page”) and toggle between sample data and placeholders.
  • Zoom: the zoom selection offers Fit page and Fit width (with the resulting value) as well as fixed levels. The button next to it fits the page; if it is already fitted, it switches to Fit width and back – each time jumping to the top of the page. A fitted view stays fitted when you resize the window.
  • Preview: Preview (PDF) opens the PDF preview. In the menu next to it (▾) you download the preview, switch on Preview as pro forma, for invoices Preview with payment (PayPal) (sample invoice fully paid via PayPal) and choose the data: Sample data or a real record. A dot on the menu shows that pro forma or a real record is active.

Without permission to change this template type, the template opens view-only (View… instead of Edit…). Changes may be made by anyone with “Manage document defaults (payment methods, process statuses, text templates, custom fields)” – or the matching specialist permission, e.g. “Set up warehouses and storage bins” for storage bin labels, pick lists and stock valuation, “Manage carriers and senders” for address labels and packing lists, “Edit items” for item labels or “Create purchase orders” for purchasing documents.

Automatic draft

The editor automatically saves your changes as a Draft about 1.5 seconds after each change – also when you close the browser tab or while the system is being updated. At the top you see the status, e.g. “Draft saved 14:32”; “Not saved – offline” means the server can't be reached for a moment – the state is then kept in the browser for now and sent automatically later.

Important: a draft is never printed. Invoices, delivery notes and labels always use the saved template. Only Save applies the changes for printing and deletes the draft.

  • When you open a template that has a draft, the editor asks: Restore applies the changes (Ctrl+Z takes you back to the saved state), Discard deletes the draft. If someone else has saved the template in the meantime, the editor points this out – saving after restoring then overwrites their changes.
  • When closing with unsaved changes, you choose Keep as draft, Save or Discard.
  • In the list, templates with a draft carry the Draft flag. Drafts of new templates that have never been saved appear as a separate row “… (draft, not saved)” with Open and restore… and Discard draft….
  • Drafts belong to you alone. Anything not changed for 30 days is deleted automatically.

Page rule

Every element has a page rule: First page only (e.g. address, info block), Following pages only (e.g. a small header with the document number), All pages (footer) or Last page only (e.g. GiroCode, signature field).

Flow area and line item table

The flow area contains, one after the other, the blocks subject, introduction, line item table, totals, each note on its own (e.g. tax note, “The delivery/service date corresponds to the invoice date”, terms of payment, e-invoice) and the closing text. The flow area grows with the table: if there isn't enough space, a new page begins and the table header is repeated; a heading never stands alone at the bottom of a page. If the info block is longer, the flow area automatically starts below it.

All settings for it are in the Edit flow area dialog – open it by double-clicking the flow area or the table, or on the right via Edit flow area …. Changes take effect on the page immediately; Undo (Ctrl+Z) works as usual.

  • Area & texts: top edge for page 1 and for following pages, bottom edge (your footer goes below it), line spacing of introduction and closing text, the Blocks list (order, show/hide, format – also for notes that do not occur in the sample data) and your own texts: Subject, Introduction with salutation (e.g. “Dear Sir or Madam, thank you for your order …”) and Closing text below totals and notes. An empty field prints the standard text of the document type; Use standard text copies it into the field for editing. Placeholders such as {{beleg.nummer}} are allowed; you add translations via the language selection at the field. The texts apply to all documents printed with this template; if a transaction has its own introduction, that one applies. For dunning letters the introduction comes from the dunning level.
  • Spacing and font are set directly on the block (see Moving and formatting blocks); the former spacing fields no longer exist – existing templates print unchanged.
  • Payment terms (on the Area & texts tab, for documents): as before they appear in running text (“Terms of payment: …” among the other notes). As block with heading prints the heading on a line of its own – without a colon, bold by default – and below it the payment terms and bank details or transfer note. Space before and “bold heading” are set on the Terms of payment block (drag, or right-click → Format …); you change the heading text like the other texts (empty = “Terms of payment” in the document language, translations via the language selection at the field).
  • Delivery address (on the Area & texts tab, for invoices, order confirmations, credit notes and cancellations): if the delivery address differs from the billing address, it appears as before in running text (“Delivery address: …” on one line). As block with heading prints the heading on a line of its own – without a colon, bold by default – and below it the address on several lines as in the address field (name, street, postcode and town, the country only if abroad). You can also switch directly in the editor: right-click the Delivery address block → As a block with heading; Edit text … changes the heading (empty = “Delivery address” in the document language, translations and placeholders as for the other texts). Space before and “bold heading” are set on the block. The sample invoice in the editor has a different delivery address so that you can see the block. On supplier orders and price requests the delivery address is the warehouse (for a different warehouse its address) to deliver to; as before it always appears among the notes (“Delivery address: …” or “Delivery to: …”) and can be printed as a block with heading in the same way (company, warehouse, street, postcode and town, the country only if abroad). If the template already shows the delivery address as a field of its own ({{lieferadresse}}), the note and the block are omitted; with drop shipping the instruction with the customer address stays in running text.
  • Columns: sort columns by dragging or with the arrows, width in mm, custom heading, horizontal and vertical alignment, Overflow – “Wrap” makes the row taller, “Truncate” ends with “…”, “Shrink” goes down to 6 pt – and Max. lines; plus add and delete columns and restore the standard columns. The Description column always takes the remaining width.
  • Header row: background (no colour = no background, “Standard” = accent colour), font colour, font size, bold, line below the header row and “net”/“gross” on price columns.
  • Content: font size and colour, stripes and row lines each with their own colour, item no. and line note below the description, default vertical alignment.
  • Totals: Grand total (bold final total) and Subtotals (subtotal net, total service, remaining amount net) with background, font colour, bold and a line above; colour and size of the other total rows.
  • Translations (sales documents): column headings per document language.

Without custom colours the table prints as before. On delivery notes, price columns are dropped automatically; the VAT column only appears with several tax rates or gross prices. Tax notes (reverse charge, intra-Community supply, small business), foreign currency, payment terms with cash discount and the delivery address appear below the totals as in the built-in layout.

Moving and formatting blocks

Every block of the flow area can be clicked in the editor – it gets a blue frame.

  • Space before: drag the small handle at the top edge of the selected block up or down. The space is shown live in mm and snaps to 0.5 mm (with Shift in 5 mm steps, with Alt without snapping). The arrow keys change it in 0.5 mm steps (Shift: 5 mm). This is how you add more space before “The delivery/service date corresponds to the invoice date”, for example.
  • Order: drag the block itself up or down – a blue line shows where it will land (keyboard: Alt+arrow). Introduction, notes, terms of payment and closing text can be arranged freely; the subject stays at the top, the table always comes before the totals.
  • Right-click opens the block menu: Format … (font size, bold, italic, font colour, alignment, space before and after for fine-tuning), Edit text … for subject, introduction, closing text and terms of payment, Hide or Show and Reset formatting. For the table and totals the menu opens their settings in the Edit flow area dialog. Enter opens Format …, Del hides.
  • Hidden blocks stay faintly visible with a dashed outline in the editor so you can show them again; they are missing from the PDF.
  • Mandatory notes – tax exemption, reverse charge, small business scheme, tax country, multi-purpose voucher, foreign currency, down payment, final invoice, pro forma, commercial credit note and the delivery/service date – may be moved and formatted but not hidden (VAT law/GoBD). This also applies to older templates in which all notes were switched off.
  • Show all notes (button in the header bar): many notes only occur on certain documents. With this button the editor shows all notes of the template type as dashed examples – so you can set spacing, position and font even for notes that are missing from the sample data. The same list is in the Edit flow area dialog under Blocks.

Without your own settings the flow area prints exactly as before. If a new note is added later, it appears in its usual place after its previous predecessor. Reset all blocks (in the dialog under Blocks) restores order, spacing and font to the defaults.

Watermark

Under Watermark you set a diagonal text behind the content: Pro forma/draft only, Always, Cancellation only or Off – with text, font size, angle, opacity and colour.

Barcodes and GiroCode

The Barcode element supports QR code, Code 128, EAN-13 / EAN-8 and GS1-128 (GTIN, batch, best-before). The content may contain placeholders, e.g. {{artikel.ean}}, {{artikel.gs1}} or {{platz.code}}. If the content is empty, nothing is printed; allverto prints an invalid EAN as Code 128. With the content {{beleg.girocode}}, a GiroCode (EPC QR) is created on invoices: the customer scans it with their banking app and transfers the outstanding amount with the invoice number as the payment reference. It is omitted for paid invoices, without an IBAN or in a foreign currency.

Labels and label sheets

For labels, choose Label as the format (single label for label printers, e.g. 62 × 29 mm, 100 × 150 mm or 4 × 6 inches) or Label sheet (e.g. Avery Zweckform 3475, 3422, 3490, 3424, L7163). With a sheet you design one label; columns, rows, margins and spacing are set on the right. When printing, you choose the Start position on the first sheet – so you can keep using partly used sheets.

Letterhead: header and footer for all templates

Logo, sender line, footer columns with bank and commercial register, page number – these usually look the same on invoice, quote, delivery note and dunning letter. With the letterhead you design this header and footer area once; every change takes effect immediately in all templates that use it.

  1. Click Letterhead at the top of the print template list. There is a default letterhead for all companies and – with several companies – optionally one of its own per company.
  2. Create letterhead or Edit letterhead opens the familiar editor. Text, field, image, logo, line, rectangle and barcode are allowed; address, info block and flow area belong in the templates. The page rule of each element (first page, following pages, all, last) applies here too.
  3. In the template, switch on Use letterhead in the bar at the top. The letterhead elements then appear locked in the background – visible but not selectable. Edit letterhead takes you straight to the letterhead.

When printing, the letterhead of the document’s company applies, otherwise the default letterhead. Each template still controls flow area, margins, font and colours. Labels and label sheets do not use a letterhead.

Default templates always use the letterhead – the switch is on and locked for them; “Set as default” also switches it on and removes elements that already appear in exactly the same way in the letterhead (the previous state is kept under “Earlier versions”). allverto converted existing default templates once in this way: if there was no letterhead yet, it was created from the header and footer of your default template (invoice or order confirmation preferred). New templates from a starter template also use the letterhead (can be switched off, except for default templates) – the starter template’s header and footer are then left out, and the flow area moves away from header and footer if necessary. As long as you have not saved a letterhead of your own, the built-in one made from the header and footer of the “DIN 5008” starter template applies. Other templates remain unchanged until you switch it on; the editor then removes duplicate elements (undo with Ctrl+Z).

Taking over header and footer from an existing template

If you have already designed header and footer in a template, you do not need to rebuild anything: right-click the template → Take over header and footer as letterhead … (or in the Letterhead dialog → Take over from a template …).

  1. Choose elements: preselected are the elements above the top edge or below the bottom edge of the flow area – without address, info block and elements with document placeholders (e.g. “Invoice {{beleg.nummer}} · Page {{seite}}”). Also choose who the letterhead is for (default or one company).
  2. Next shows what will happen. If there already is a letterhead, allverto only replaces it if you tick Yes, replace the existing letterhead.
  3. Optionally, switch other templates at the same time: the list shows for each template how many duplicate elements were found (same type, same content, about the same position). In the ticked templates, Use letterhead is switched on and the duplicates are removed – but only if you also confirm that you have checked the list.

Afterwards you can take everything back with Undo – as long as nobody has changed the templates since.

Earlier versions

Before every save, letterhead takeover and restore, allverto keeps the previous state (the last 30). Right-click a template → Earlier versions … or, in the Letterhead dialog, … → Earlier versions lists them; Restore brings a version back and keeps the current one.

Companies and default templates

If you have several companies, each company can have its own templates for documents, dunning letters, address labels, packing lists and return slips. When printing, the rule is: the type's default template for the document's company, otherwise the default template for all companies, otherwise the built-in layout. Logo and company data always come from the document's company.

Right-click a template: Edit… (without permission View…), Duplicate, Export, Use as default or Remove as default and Delete…. A default template can only be deleted once you remove it as default or make another template the default. The Email template column shows which email template is used when this type is sent by email. Menu items your role has no right for are not shown.

Exporting and importing templates

You can reuse a finished template in another company or another allverto tenant:

  1. Export: right-click a template → Export. allverto saves the file name.allverto-vorlage.json. If you select several templates, Export templates in the selection bar (or the right-click menu) puts them into one shared file.
  2. Import: click Import at the top of the list and choose the file or drag it into the field. allverto checks the file and shows a preview: for each template its name, template type, number of images and notes – for example unknown placeholders, a template type that does not exist here, or missing permissions.
  3. Tick the templates you want to take over, adjust the names if needed and click Import … templates.

The file contains the complete layout with texts, translations, colours, table and watermark as well as all uploaded images. Company and email template are not included – the company logo comes from the company data when printing, as always.

Good to know: an import always creates new templates – for all companies and not as default. Existing templates are never overwritten; if the name is already taken, the new template gets the suffix “(Import)”. Images are checked as when uploading (PNG or JPG, max. 2 MB); the file may be at most 10 MB.

Including the letterhead: if an exported template uses the letterhead, allverto asks whether to add it to the file (preselected). To export the letterhead on its own, use Letterhead → … → Export. On import, the preview shows the letterhead in the file: if there is none yet, it is created as the default letterhead; if there already is one, allverto only replaces it if you tick the box and confirm – otherwise only the templates are imported, and they use your existing letterhead.

Placeholders

You write placeholders in double curly braces. Lines whose placeholders are all empty are omitted when printing – so “Tel. {{firma.telefon}}” only appears if there is a phone number.

The editor shows on the left which placeholders fit the template type – including the complete lists for stock valuation and stock development. Unknown placeholders remain empty when printed; the editor points this out.

Supplier order (purchasing)

The starter template Supplier order (default) looks like the built-in purchase order PDF: supplier in the address field, below it the billing and delivery address (for dropshipping the end customer), info block with order number, order date, your customer number with the supplier, delivery date and payment terms, followed by the line items with supplier item number (column “Supplier item no.”), quantity, unit, purchase price and net amount. If you set it as default, PDF, Order by email and the output use this template. For price requests and supplier returns there are, accordingly, Price request (default) and Supplier return (default).

Frequently asked questions

Does the invoice show when and how it was paid? Yes. If the order was already paid when the invoice was issued (e.g. a shop order paid via PayPal), the totals show one line per payment such as “Paid on 19/10/2026 via PayPal −€119.00” followed by the outstanding amount; if paid in full, the note reads “The amount was paid on 19/10/2026 via PayPal.” Only what was paid at issue is credited – later payments do not change the finalised invoice (GoBD). Older invoices without these details still show “already paid”.

Why does the editor show a different font than the PDF? The editor shows the page with your browser's fonts. What counts is the Preview (PDF) – it is generated exactly like the later printout.

Can I use my own fonts? Not yet. You can choose Helvetica, Times and Courier (available in every PDF program). Characters these fonts don't know (e.g. Chinese characters) appear as “?”.

How do I get my logo onto the document? The Logo element takes the company logo from Settings → Companies (Letterhead & logo tab). You upload your own images (PNG or JPG, max. 2 MB) in the Image element.
