Copying and moving between tenants

GuideNewLast checked on 15/10/2026

Copy or move items and orders from the current tenant into another tenant you are also a member of – with preview, mapping of master data and a log in both tenants.

If you work in several tenants (for example in two companies of your own), you can transfer items and orders from one tenant to the other. The tenants remain strictly separated: allverto reads in the tenant you are currently working in (source) and creates new records in the selected target tenant. Nothing is shared or linked.

Requirements

  • You are an active member of both tenants. Switching and adding further tenants is explained in Several tenants.
  • The target tenant is activated (trial period or subscription). Tenants under review, with an expired trial period or locked tenants appear in the dialog with a reason but can't be selected.
  • Your role has the matching permissions in both tenants:
ActionIn the current tenant (source)In the target tenant
Copy itemsView itemsEdit items
Move itemsEdit itemsEdit items
Copy orderView ordersCreate orders (and edit customers if the customer has to be created)
Move orderEdit and cancel ordersas for copying

The menu entries only appear if you are a member of more than one tenant.

Copying or moving items

  1. Open Items and select one or more items (multiple selection with Ctrl or Shift).
  2. Right-click → Copy to another tenant… or Move to another tenant….
  3. Choose the target tenant. allverto immediately shows a preview – the transfer only happens when you click the button at the bottom right.
  4. Decide what happens if the item number already exists in the target:
    • Overwrite – master data, texts, prices, attributes, categories and images of the target item are replaced. Stock and channel prices in the target remain. This only works for the same kind (single item, parent item or child of the same parent).
    • Create new with suffix – the item is created with a suffix on the number, e.g. ESP-500-K. If that is taken too, allverto keeps counting (ESP-500-K2 …).
    • Skip – the item is not transferred.
  5. Optional: Transfer supplier assignment – the supplier items (purchase price, supplier item number) come along; suppliers are matched by name in the target or created.
  6. Check the preview and click Copy … items or Move ….

What is transferred

  • Master data, descriptions and Translations (all languages), SEO texts, dimensions, weights, customs and dangerous goods information.
  • Prices including tier, customer group and special prices – without channel-specific prices, because sales channels are separate per tenant.
  • Images and videos: the files are copied into the target's storage; main image and order are kept.
  • Characteristics and characteristic values, attributes, categories, manufacturers, product groups, labels, shipping classes, custom fields and units – matched by name in the target. If an entry is missing, allverto creates it (for categories with all parent categories). The preview shows under Master data in target what is Matched and what is Created.
  • Variants: if you choose a parent or child item, the whole family is always transferred – parent item, all children, variations, values and combinations. Inherited and own values of the children stay as in the source.
  • Bills of materials (sets), production bills of materials and configurable items: components are searched for by item number in the target (also among the items being transferred). If a component is missing, it is left out and named in the preview.

Moving

Moving = copying and archiving the item in the current tenant (setting it to inactive). Nothing is deleted: history, orders and documents keep their item. Moving is only possible as long as the item (or any item of its variant family) has no stock, reservations or open orders – otherwise the preview shows the reason, and you can copy instead.

Copying or moving orders

  1. Open Orders, select one or more orders and open the menu with a right-click – or the More menu in the order window.
  2. Choose To another tenant → Copy… or Move….
  3. Choose the target tenant and what should happen to lines whose item is missing in the target:
    • Take over as open item – the line comes with description, quantity and price, but without warehouse reference.
    • Do not transfer order – orders with missing items are left out.
  4. Check the preview and confirm.

This is how allverto matches in the target:

  • Customer: first by Email address, otherwise by the same customer number with the same name. If there is no matching customer, it is created with addresses (new customer number from the target's number range).
  • Lines by Item number. Discounts, notes, text and shipping lines come along.
  • Delivery and billing address, payment terms, tax details, notes. Payment and shipping method are matched by name; if missing in the target, the field stays empty.
  • The new order gets an order number of the target, lands in the Manual channel and carries the note “Taken over from <tenant> <number>”.

Moving

When moving, the order is cancelled in the current tenant – with the note “Moved to <tenant> <number>”; reserved stock is released. This only works as long as the order is “New” or “Paid” and is neither on a pick list nor has a shipping label or an invoice.

Log

Every transfer is recorded in the change log of both tenants – in the source “Copied to …” or “Moved to …”, in the target “Taken over from …” with the item or order number. In addition, allverto records the transfer in the system log of both tenants.

Frequently asked questions

A tenant is missing from the selection. You are not (or no longer) an active member there, or your role doesn't have the necessary permissions there. Tenants under review are listed with a reason below the selection field.

Can I undo a transfer? Not automatically. Transfer in the opposite direction or delete or archive the new records in the target. You restore moved items in the source with Set active.
