POS settings, reasons and scale barcodes

ReferenceLast checked on 18/10/2026

Set tile size, start view, assortment, full screen, purchase prices, customer display, additional card terminals, receipt output, negative stock, rounding off, cash keys, rounding, tips, miscellaneous keys and deposit amounts per POS; maintain reasons; define scale barcodes.

How a POS behaves in day-to-day business is set in the POS's POS settings tab. Reasons and scale barcodes apply to all POS registers of the company. Anyone whose role has the permission Set up the POS (branches, registers, TSE, terminals, receipt) may change them.

Opening the POS settings

  1. Open Sales → Settings in the ERP.
  2. On the left under POS, click the POS under its branch.
  3. Choose the POS settings tab, make changes and Save (or Discard).

At the POS itself there is no longer a link to the settings – Menu → Desktop app takes you to the ERP.

Cashier view

SettingEffect
Tile sizeSmall (image left, many items – at most 6 per row), Medium (image on top, flat – 5 per row) or Large (big images – 4 per row).
POS start viewItem overview (default): categories with item images. Favourites: starts in the quick keys. Direct entry: only the scan and search field with the most recently sold items.
Show frequently sold itemsWithout a selected category, the start view shows this POS's top sellers of the last 30 days under Frequently sold; off = the newest items.
Show item and category imagesTiles with preview image; off = text only (faster on slow connections).
Full screenChoose on device (each device switches itself under Menu → Full screen and theme), Always on (always full screen on the first tap, cannot be switched off on the device) or Always off.
AssortmentAll items or Selected categories (with all subcategories). Applies to categories, Frequently sold, search and scan; favourites stay as set up.
Show purchase pricesOn: purchase price and margin in the line dialog and in the item info – only for roles with the permission Show purchase prices at the POS. Off: never visible at this POS, not even with the permission.

Customer display

Under Start you choose Off, Manually or Automatic; below it you design the welcome screen in the editor. Everything about this under Customer display.

Card terminals

You set the POS's main terminal in the Devices tab. Under Additional terminals of this register you choose additional terminals, e.g. a spare device. The POS then lets you choose the terminal when paying by card; the device remembers the last choice. One “Card” payment method is enough.

Receipt output

  • Receipt after sale shows what the POS does after payment. Change it via Change receipt output… – this opens the Receipt template tab. More under Digital receipt.
  • Automatically correct negative stock to 0 – see Sale.
  • Print internal receipt – a second copy for filing after each sale (receipt printer only).
  • Automatically go to next receipt – Off, or after 3 to 60 seconds the receipt dialog closes by itself. Any tap in the dialog stops the countdown.

Sale

SettingEffect
Warning on negative stockWarn, allow sale (default), Sell without notice or Block sale. The stock in the POS warehouse is checked when adding items and when completing the receipt.
Automatically correct negative stock to 0If a POS sale makes a stock level negative (the goods were there, but not in the system), allverto immediately books a stock correction to 0 with a reference to the receipt – as in JTL. Switch it off if negative stock levels should remain.
Maximum rounding-off in %How far Round off amount at the POS may reduce the total (default 5%).
Create invoice automaticallyIf a customer with an address is assigned, Create invoice for receipt is already switched on during payment.

Payment

SettingEffect
Cash keys in eurosKeys for cash payment, separated by semicolons, e.g. 5; 10; 20; 50; 100 (at most 12).
RoundingRound cash payment to €0.05: for pure cash payments, the POS rounds down to 5 cents – as a small receipt discount “Rounding”. Only without another receipt discount and without a tip.
TipsDuring payment, a tip can be recorded as a separate line (business transaction tip to employees, without VAT).
Cash-back serviceOffer the Cashback button when paying: the customer pays more than the purchase cashless and receives the difference in cash. Minimum purchase and minimum and maximum amounts are set per payment method (Payment methods tab → Edit).

Which payment methods the POS offers, in which colour and whether the drawer opens afterwards is set in the Payment methods tab – see Setting up the POS.

Miscellaneous keys

Miscellaneous keys are keys for items without master data (e.g. “Fruit”, “Repair”). At the POS they appear in the Misc. area. With Miscellaneous key you create up to 12; each key is a card of its own:

FieldMeaning
Nameshown on the key and on the receipt (at most 24 characters)
Product groupoptional
Tax rateonly rates from your tax master data
Suggested price (€) or Fixed price (€)with price entry the suggested price, otherwise the fixed price
Price entryon: the cashier types the price (permission Enter prices at the POS (open item, override price)). Off: the fixed price applies – without any special permission.
Quantity promptthe POS asks for the quantity
Name editablethe text for the receipt can be overwritten at the POS
Discountableoff: no line discount on this key
PLU (short code)up to 8 digits; type it into the search field, also as 3*PLU
Fixed quantityquantity per tap (1–999), only without a quantity prompt
Minimum price and Maximum pricelimits for price entry; the server checks them too
Button colourDefault (grey), Blue, Green, Amber, Red, Violet, Teal, Grey or Pink

Deposit

In the Deposit section you create up to 12 deposit amounts with Deposit amount, e.g. “Returnable” €0.15, “Single-use” €0.25 or “Crate” €3.10:

  • Name – shown on the key and on the receipt (“Deposit Returnable” or “Deposit return Returnable”),
  • Amount (€) – greater than €0,
  • Tax rate – the deposit shares the tax rate of the goods, e.g. 19% for drinks in returnable bottles.

As soon as a deposit amount is saved, the POS shows the Deposit area with the keys for deposit and deposit return – see Selling at the POS. The amounts are fixed: the POS only accepts a different amount from roles with the permission Enter prices at the POS (open item, override price).

Unavailable options

Some options from JTL-POS are shown greyed out in the tab, with the reason next to them:

  • Select best-before date and batch automatically – the POS does not yet ask for best-before date and batch; it books from the item's bin.
  • Capture serial number on sale – please sell serial-number items in a sales order.
  • Reset receipt number – receipt numbers run on without gaps (DSFinV-K); they are assigned on payment from the POS receipts number range.

Reasons

Under Sales → Settings → POS, tab Reasons, you maintain fixed reasons for all POS registers:

TypeWhen asked
Cancellation reasonswhen cancelling a receipt
Return reasonsfor a return at the POS
Pay-in reasonsfor a deposit (change float needs no reason)
Pay-out reasonsfor a withdrawal, including the cash withdrawal in the end-of-day closing
Reasons for aborted receiptswhen clearing a receipt or deleting a parked receipt

As soon as at least one active reason is maintained for a type, it shows Required and one must be chosen at the POS. The reasons then appear as buttons; you write your own text via + Own text – so the on-screen keyboard does not pop up unasked. An Additional note (optional) is also possible. Without maintained reasons it shows Free text – for cancellations and returns at least 3 characters are then required, otherwise the text is optional. Deactivated reasons are not offered at the POS; receipts that already carry a reason keep the text.

Scale barcodes

Scale barcodes tab under POS: barcodes from scales and price labellers (GS1 prefix 20–29) that contain a weight or price. With Definition you create up to 20:

FieldMeaning
PrefixStart of the barcode, e.g. 28
PLU digitsLength of the item number in the barcode (PLU = item number in allverto)
Value digitsLength of the weight or price
ValueWeight or quantity or Price
DecimalsDecimal places of the value (weight usually 3, price 2)
Check digit at the endwhether the barcode ends with a check digit

Below each definition, allverto shows the length and a sample barcode. When the POS scans a matching barcode, it creates a separate line – with the quantity from the barcode (weight) or the price from the barcode. A price from a scale barcode needs no price permission.
