Advance shipping notices, orders and billing
Release items, deliver goods with an advance shipping notice, hand over orders to the fulfiller, pick and ship at the fulfiller and bill services.
Once merchant and fulfiller are connected, day-to-day work runs through item release, advance shipping notices and order handover. As a merchant you work under Shipping → Fulfillment network, view As merchant, tab My fulfillers – there, each connection has its own tabs. As a fulfiller you book goods receipt, picking and packing in the Warehouse app.
As a merchant
Releasing items
Item release tab: choose the items the fulfiller should store and click Release. With Withdraw release you take them back.
Delivering goods (advance shipping notice)
- Advance shipping notices tab → Create advance shipping notice.
- Choose fulfiller, Expected on, Your reference (e.g. purchase order or delivery note number) and a Note to the fulfiller.
- Add lines with Item and Quantity.
- Send notice.
When the fulfiller books the goods receipt, the stock automatically appears in your fulfiller warehouse.
Handing over orders
- Orders tab, view Ready for handover (further views: At fulfiller, All handed over).
- Select orders and choose Hand over to fulfiller.
- The orders are held with “At fulfiller” – your own shipping and pick lists are locked for them until the fulfiller reports back.
If your order has a date under Ship no earlier than, it is passed on. The fulfiller only schedules the order on a pick list from that day on. If you change the date later, the fulfiller receives the change as long as they have not started picking.
Handing over orders automatically
In a connection's Automatic handover tab, switch on Hand over orders automatically. Only orders fully covered by the stock at the fulfiller are handed over – oldest first (sets by components); items not yet released are released in the process. You can narrow it down with Paid orders only, Shipping methods, Channels and Companies. With several fulfillers using automation, the Order of precedence decides: an order goes to the first one that can deliver everything.
Not handed over automatically are orders without a shipping method, held orders, orders on a pick list, with a fixed own shipping warehouse or already partially delivered. The Orders tab shows the reason per order in the Automatic handover column. Every handover is recorded in the order's history.
With Withdraw handover, the orders are available for your own shipping again, as long as the fulfiller has not started. If you cancel a handed-over order, the fulfiller sees “Cancellation requested”.
When the fulfiller ships, your order is automatically booked as shipped – including the shipping notification to your shop. Returns appear for you under Returns.
Shipping via your own shipping account
In a connection's Shipping tab, switch on Create labels via my own shipping account and define which of your carriers applies: per order shipping method or as Default (all others), optionally with a product. The fulfiller then prints labels with your contract at the packing station – the carrier bills the postage directly to you, and the fulfiller charges no shipping item (at most the handling fee from the contract).
The label is created in your company: your credentials never leave allverto, and the fulfiller only sees carrier, product, tracking number and the label. The sender is your company with "c/o" and the address of the fulfiller's warehouse – so returns go to the fulfiller. The shipment appears on your order as usual (tracking, shipping confirmation to the shop). If your account is paused or none is set for the shipping method, you get a notification and the fulfiller reports manually. The same tab lists the labels created this way and – if the fulfiller ships via their own contract – their postage items per order.
As a fulfiller
Goods receipt for an advance shipping notice
Advance shipping notices tab: here you see the notices with their lines. Booking in is done in the warehouse app under Goods receipt. There, the notice is listed among the expected delivery notes with the FFN label: scan the item, quantity, scan the storage bin, book in. Complete notice finishes it. In the notice window, Book in via warehouse app takes you straight there.
Processing orders (pick and pack in the warehouse app)
Handed-over orders are called FFN orders for you (number FA-…). You process them in the warehouse app like your own orders:
- Pick list: a pick list template that restricts Platforms to “Fulfillment network (FFN)” or to specific Merchants includes FFN orders in its planning. In the warehouse app they carry the FFN label. The scan books the third-party goods directly out of the merchant's fulfillment stock.
- Packing: at the packing station you find the order via the FA number, the merchant's order number or the pick list, check the goods by scanning and use Report shipment to report the carrier, tracking number and parcels. See Packing.
- The merchant receives the status and tracking number; their order is automatically booked as shipped.
In the ERP you see the FFN orders under Shipping → Fulfillment network, view As fulfiller, tab Orders (Open / Completed) with recipient, Ship by and Shortage. Without the warehouse app you can also Start picking manually there, report Packed and Book shipment in the order window (carrier, parcels, tracking number). Overdue orders are marked “Shipping overdue”, orders with a later shipping date show “Ship from …”. For “Merchant has cancelled”, confirm with Confirm cancellation.
Return
In the shipped order, Book return and choose Quantity and Decision for each line: Restock (with Storage bin) or Dispose.
Correcting stock
Stock tab: right-click → Correct stock with quantity (±) and Reason.
Shipping label at the packing station
allverto now creates the label for FFN orders itself – in this order:
- The merchant's contract, if the merchant has set it for the connection: in the warehouse app when packing Label via merchant contract, in the order window in the Shipping label section → Create label. It is created in the merchant's tenant; you only receive the label, tracking number and product.
- Your own contract, if you switched on Create labels for customers via own shipping accounts in Profile & prices: you choose one of your carriers. This additionally requires the shipping permission.
- Otherwise as before: Report shipment with carrier and tracking number entered manually – always possible.
Enter weight and parcels as for your own orders (without input, item weights are used). With Report shipment right away the order is reported as shipped immediately; otherwise Report shipment later takes carrier, tracking number and parcels from the label. Until shipment you can cancel a label (with the carrier, if it supports cancellation) and print it again at any time in the order window. Customs data (tariff number, country of origin, weight, value) comes from the merchant's order lines and items. Both sides log who created which label when.
Default warehouse per customer
In the Customers tab, right-click → Customer settings to set a default warehouse and optionally a storage area. Goods receipt in the warehouse app suggests bins in this warehouse and warns if you book into another one. Pick lists plan this customer's FFN orders only from the default warehouse, bins of the storage area first; the shortage refers to this warehouse. Without a setting, nothing changes.
Contract manufacturing
If the fulfiller offers the service Contract manufacturing in Profile & prices, they produce a finished item from your stored raw goods – such as roasting and filling coffee or kitting sets.
As a merchant
- Send raw goods as usual via an advance shipping notice.
- Under My fulfillers, open the Contract manufacturing tab → Create production order.
- Choose Finished item, Quantity and Requested date. If the item has a bill of materials in production, the raw items are taken over with their total quantity; otherwise you enter them yourself.
- Hand over order. Finished and raw items are released automatically in the process.
In the list and in the order window you see status, quantity produced, consumption, scrap, batches and what is still missing at the fulfiller. Each report books the raw goods out of your fulfiller warehouse and the finished item (with batch and best-before date) in – it can be sold immediately and handed over to the fulfiller like any order, automatically too.
As long as the fulfiller has not started, you can Withdraw. After that, only Complete with remaining quantity is possible.
As a fulfiller
Production orders tab: open the order. The table shows target, remaining, available quantity and shortages per raw item. Start production is only possible once everything is stored; with Reject (with a reason) you decline an order that has not been started yet.
With Report you book Good quantity, Storage bin, Batch and BBD (required if the merchant manages the item that way), per raw item Usage and Scrap, Minutes and your own Material such as packaging as an amount. Partial quantities are possible; once the quantity is reached or Complete afterwards is set, the order is done.
Billing runs through the service billing: Manufacturing per piece and Manufacturing time per minute according to your price list (both optional), plus the material as a separate line. Both sides receive a notification at every step.
Billing (fulfiller)
Billing tab: allverto collects goods receipt, pick, packaging, shipping and return as service items according to your price list, plus storage costs per bin and day. You record further items with Other service. Choose Customer and Month and click Create invoice – you then find the invoice under Sales → Invoices.
Billing shipping and postage
How shipping is billed is set per customer in the Customer settings under Bill shipping:
- Flat rate per parcel (price list) – the Shipping price as before.
- Actual postage per label (only for labels via your contract): the price the carrier returns with the label (e.g. UPS, FedEx, DHL Express, Internetmarke), otherwise the matching entry of your postage table (Profile & prices), otherwise the flat rate marked "flat rate (no postage found)". Optionally plus a markup on postage in % and handling per parcel.
Each parcel creates a Postage service item with carrier, product, tracking number, weight and destination; if you cancel the label before shipment, it is removed. On the monthly invoice, postage appears as a summary item "Postage as per itemised list" with the same tax rate as the other services; download the itemised list as CSV via Postage details in billing. The merchant sees their postage items in their fulfiller view. Labels via the merchant's contract create no postage item, only optionally Shipping via merchant contract (handling) according to the price list.
