Outgoing payments – paying suppliers by SEPA transfer

GuideLast checked on 15/10/2026

Output released supplier invoices together as a SEPA credit transfer file (pain.001) for online banking and have the debits matched automatically later.

Under Outgoing payments you pay your suppliers: all supplier invoices released for payment are collected here. From them you create a Payment run – a SEPA credit transfer file that you upload in online banking or send directly to the bank via EBICS.

You'll find it under Finance → Outgoing payments.

Before you start

  • The owner, Administration and Accounting may release invoices and create payment runs (permission Release supplier invoices for payment and create outgoing payments (SEPA transfers)).
  • The Company data must contain the company name and the IBAN of your account (BIC optional) – this is the originator account. If something is missing, a red notice appears at the top.
  • Every supplier needs an IBAN (see Suppliers) – or a PayPal address if you pay them via PayPal. Payments to suppliers without an IBAN are marked in red ("No IBAN for supplier") and are skipped.
  • Only posted supplier invoices can be released for payment.

Step by step

  1. Under Supplier invoices, release the invoices that are due (selection bar → Release for payment). With Deduct cash discount while the discount period runs, the cash discount is deducted automatically until the discount deadline. If the supplier has both an IBAN and PayPal, choose the method under Pay via (Automatic (IBAN before PayPal)). You can already set the Payment reference here – empty means automatic.
  2. Switch to Outgoing payments. The list shows all open releases with Amount, Cash discount, Pay on and IBAN / PayPal (shortened). At the top you see the totals Released, not yet transferred and Transferred, not yet matched as well as the Originator account (company data). With Show → All (last 60 days) you also see completed payments.
  3. Select the payments that should go out and right-click → Create outgoing payment (…).
  4. Under Execute on, choose the desired execution date (today at the earliest) and click Create SEPA file. The file (pain.001.001.09) is downloaded.
  5. Upload the file in online banking as a SEPA bulk order / transfer file and authorise it there – or send the payment run via EBICS (see below).

The payments are then set to Transferred, and so are the invoices. They are paid as soon as the debits have been assigned in Payment matching – this usually happens automatically via the Reference (e.g. ZL-2026-00003-1) contained in every transfer.

Payment reference

allverto writes the supplier's invoice number with date, your customer number with the supplier and any cash discount deducted into the payment reference, e.g. "RE 4711 vom 01.10.2026 Kd-Nr. 12345 abzgl. Skonto 2 Proz. 2,38 EUR". Umlauts are transliterated for the bank (ä → ae). As long as the payment is not yet part of a payment run, you can change the text via right-click → Change payment reference… (max. 140 characters; empty = automatic again).

Pay via PayPal

Payments with Pay via PayPal don't go into the SEPA file. Send the money in PayPal to the address shown and then mark the payments via right-click → Mark as sent via PayPal. The invoice is paid as soon as the PayPal transaction has been assigned in Payment matching.

Payee verification

Since October 2025, banks check before every transfer whether the payee's name and IBAN match (Empfängerprüfung, "Verification of Payee"). With a connected bank account (see Payment providers and bank accounts) you can check a supplier in advance in the supplier window with Check IBAN. The result is Match, Close match (with the name according to the bank), No match or Check not possible.

If payees don't (fully) match, a yellow notice listing all affected suppliers appears above the outgoing payments. Check the supplier's name and IBAN before transferring – if you transfer despite a mismatch, the bank is not liable for misdirected payments.

Payment runs

At the bottom you find all Payment runs with execution date, count, total and assignment status.

  • Download SEPA file downloads the file again – exactly as it was generated.
  • Send to the bank via EBICS… sends the payment run directly to the bank via a configured EBICS account. With Send with payee verification, the bank first returns the verification result; if there are mismatches, you confirm Mismatches read and authorise the order – or discard it.
  • Use Cancel payment run… (right-click) only if the file was not executed at the bank. The payments are then released again. Once a debit has been assigned, this is no longer possible.

Withdraw a release

Select released (not yet transferred) payments and click Withdraw release. The supplier invoice is then Posted again and can be released again or – by the owner/Administration – released for correction.
