Create a custom report
GuideLast checked on 15/10/2026
Click together your own reports with the report builder – data source, key figures, grouping, rules, period – then save, share and pin them to the dashboard.
If the ready-made reports aren't enough, build your own report – no SQL or programming knowledge needed. Examples: "Revenue by channel per month", "Top 20 items by margin", "Customers without an order for 90 days".
You'll find the builder under Reports → Custom reports.
Before you start
- Everyone with the permission View reports may view reports. Creating your own reports requires Create and edit custom reports (Owner, Administration, Sales, Accounting). Sharing reports with the whole company requires Share custom reports with the whole company and change company reports (Owner, Administration).
- Some data sources need additional permissions, e.g. invoices, warehouse, purchasing or open items.
Step by step
- Click New report – or pick a report under Templates and click Customise template.
- Data source – what is calculated from? Options include Revenue (order lines), Orders, Invoices, Customers, Item & stock, Stock movements, Purchasing (purchase order lines), Returns (lines), Production orders, Open items (customers) and Open items (suppliers).
- Key figures – which numbers do you want to see? For each key figure choose the Calculation (Total, Average, Minimum, Maximum, Count, Distinct count) and the Field, e.g. total net revenue. There are also ready-made key figures such as Margin %.
- Group by – one row per …, e.g. per channel. Up to two groupings; for date fields you choose the Interval (day, week, month, quarter, year). Without grouping you get one total row for everything.
- Rules – count only certain data, e.g. "Country is Austria". They work like the list filters.
- Result rules – hide rows after calculating, e.g. only customers with revenue above €1,000.
- Period – relative (e.g. This quarter, Last year) or a Fixed period …; optionally Compare with the previous period.
- Sorting, number and chart – Sort by, Number of rows (top N) and the Chart (automatic, bar, line or none).
- The Preview recalculates with every change. When everything fits, click Save … and enter a Name and optionally a Description.
Save, share, pin
- New reports are Private and listed under My reports.
- With Share with everyone in the company, all colleagues with report permission see the report.
- Pin to dashboard shows the report as a tile on your dashboard.
- Via More actions you can Duplicate, rename (Name and sharing …) or Delete a report.
- Download the result with Download as CSV.
Frequently asked questions
Why do I see at most 1,000 rows?
A report shows a maximum of 1,000 rows and calculates for at most ten seconds. Narrow down the period or use top N.
Why is a data source missing?
Data sources you don't have the permission for are not offered (e.g. open items only with finance permissions). Ask a person with administration rights.
